Trust box · an add-on to the club version of the academy
Trust box: a place where parents and children speak up
A page on the academy of your club where a parent, a child or a club member writes down a concern. The report goes by e-mail to the contact person of the club; its content does not stay with us.
- Anonymous, a contact is optional
- Goes straight to the contact person of the club
- A form for children in plain words
- A QR code of the form to download for a poster
Why a trust box
Without a quiet channel the club is the last to know
Most concerns never reach the club management because there is no safe way to raise them.
Children keep quiet
A child is often afraid of being seen as a tell-tale. Writing a few sentences is easier than going to an adult.
Parents avoid conflict
A parent does not like raising an awkward issue with a coach face to face. With a quiet channel they speak up sooner and calmly.
The club finds out in time
A small matter can be dealt with at once. Without a trust box the club management hears about it only when it has become a problem.
How it works
Three steps from a concern to a solution
The trust box is not an emergency line
Is a child in danger right now? Call at once. The trust box is for situations the club assesses and resolves, not for acute danger. The form always shows the emergency numbers, even without filling it in.
-
A parent or a child opens the form
Through the link in the header and footer of the club academy or the QR code on a poster. The page carries the logo and colours of the club.
-
They write what is happening
In their own words, without proof. They do not have to leave a contact; the report then stays anonymous.
-
The contact person of the club receives it by e-mail
The report goes straight to them, and until the club names one, to the administrator of the club. They assess the situation and decide what to do next. We do not store the content of reports.
The form for children
For children, in their words
The same trust box, different words. A child does not have to decode wording for adults to say that something does not feel right.
- Simpler language Shorter sentences in a friendly tone. The child knows what will happen with what they write.
- Help numbers in plain sight The emergency numbers and the helpline for children are always on the page, on a phone above the form.
- A link of its own for children The form for children has an address of its own. On the page of the box, one link switches to it.
Contact person
Parents and children need to know who they write to
The club names a contact person who receives the reports. Once confirmed, their name is shown on the page of the form, so parents and children see a real person.
- A confirmed address The contact person confirms their e-mail address through a link in an e-mail. A new address is confirmed again.
- A test report The club checks the channel with a test report that arrives the same way as a real one.
- An overview without content In the administration the club sees when a report arrived and how it is handled: new, in progress, closed. The text of the report is not there.
Protection
A trust box protected against misuse
The trust box has to stay available for real reports.
- A check against robots The form is protected by a check against robots. Without it the form is not shown at all.
- No cap for the club Every report goes out at once. One connection (IP address) can send at most two reports a day to one club and at most ten to all clubs together, so the box cannot be flooded.
- A pause with one button If a wave of messages comes, the club pauses the trust box at once. The emergency numbers stay on the page.
- The content does not stay with us The text of a report goes only by e-mail to the contact person of the club. We keep only a record without content: when the report arrived, who wrote it (if they said), whether it came through the form for children, whether the reporter left a contact (only yes or no), whether it was delivered and how the club is handling it. We delete the record after 3 years, as the page Personal data processing describes.

FAQ
What people ask most often
Who sees the reports from the trust box?
The report goes by e-mail to the contact person of the club. responsiblo does not store the content of reports; we are only the technical channel. The club is responsible for assessing and responding.
Is a report really anonymous?
A contact is optional. If a parent or a child leaves it out, the club cannot find out from the trust box who wrote. Leave a contact if you want an answer.
What if the concern is about the contact person themselves?
You can raise the concern outside the club as well: with the sports federation, with the helpline for children 116 111 and, if a child is in immediate danger, with the emergency line.
Does the club have to answer a report?
An answer is possible only if the reporter left a contact. How to assess a report and what to do next is for the club to decide.
How do people find out about the trust box?
The link is in the header and footer of the club academy. The club can add it to its website and team groups, and download the QR code of the form for a poster in the changing room.
How many reports does the trust box accept?
The club has no cap; every report goes out at once. One connection (IP address) can send at most two reports a day to one club and at most ten to all clubs together, so the trust box cannot be flooded.
Is the trust box only for sports clubs?
Today yes: we offer it to sports clubs with an academy for parents on responsiblo. If you run another organisation for children, get in touch.
Do you want a trust box for your club?
Write to us and we will switch the trust box on for your club together with the club version of the academy.
